Manage tracked users
Tracked users can report their SaaS activity but cannot access your organization's data. They can be either Active or Inactive :
- Active
- Activity data will be reported if the browser extension is installed.
- Inactive .
-
Activity data will not be reported, even if the browser extension is installed. A tracked user will be marked as inactive if:
- They are archived, deleted, or suspended in Google Workspace
- A Hapstack admin manually disables tracking for the user (
see below )
#
Add tracked users
Tracked users can only be added through the via the Google Workspace integration. Your Hapstack directory automatically syncs with all or selected Google Workspace users. Manual user addition is not supported.
#
Monitor tracking status
Navigate to your directory page to view your tracked users. All users in the Active tab are eligible to report activity.
The Browser Extension column displays current tracking status:
- Active: User is reporting activity
- Not detected: User is not currently reporting activity
#
Common "Not detected" issues
If you've force installed the extension, tracked users typically show as Not detected because:
- Chrome hasn't been opened in the past 72 hours (or since extension installation)
- The user is signed into Chrome with a different Google account
#
Turn off tracking
To disable tracking for a user:
- Visit your directory page
- Click the menu button next to a user's name
- Select Do not track
This prevents activity reporting even if the browser extension is installed.
#
Delete a tracked user
Deleting a tracked user will permanently delete their activity data.
You can permanently delete a tracked user if they are Inactive .
- Visit the inactive tab of your directory
- Click the menu button next to a user's name
- Select Permanently delete
Note that a permanently deleted user may reappear if they are part of a synced Google Workspace organizational unit.
